POSITION:                           Electronic Health Record Scan Clerk and Analyst

 

DEPARTMENT:                  Health Information Management (HIM)

 

FLSA STATUS:                   NON-EXEMPT

 

JOB SUMMARY: The primary purpose of this job is to prepare and scan paper documents from the Emergency Department, Outpatient Departments, Inpatient Departments, clinics, and all other areas of Franklin Medical Center as needed.  This position may also include helping answer the phone, assisting requests as needed or filling in another position within the department when needed.

JOB RELATIONSHIPS:

  • Responsible to the Health Information Management Director
  • Regular contact with: Lab, Radiology, Respiratory, Rural Health Clinics, Emergency Department, Registration, and Accounts Payable.

ESSENTIAL JOB FUNCTIONS:

The following is a summary of major essential functions of this position. Other duties may be performed that are not mentioned below, and specific functions may change from time to time.

 

Imaging Duties

  1. Organize the work flow of documents to be scanned from the specific departments.
  2. Prepare documents; created document folders in database; input index data and scan documents.
  3. Maintains auditing processes for all records scanned and determines shred dates.
  4. Generates reports and verification process to determine that all records for the time periods have been received to be scanned.
  5. Maintains index fields; folders; administration duties on database system.
  6. Follows department policies for filing, storage and disposal.

 

HIM Analyst:

  1. Collects all loose filing for those discharged charts and inserts for scanning into the EHR.
  2. Analyzes inpatient and surgical charts for completion based on FMC policy and CoP standards.
  3. Enters deficiencies into computer for physician completion.
  4. Forwards all analyzed charts to coder.
  5. Performs performance improvement audits on each chart as directed by director.
  6. Assists in answering the phone and taking messages.
  7. Maintains hospital requirements, policies and standards on confidentiality.
  8. Assists in physician completion of charts.
  9. Willing to accept additional assignments.
  10. Must be able to keep up with workload.
  11. Maintains a good working relationship within department and other departments.

 

 

QUALIFICATIONS:

 

EDUCATION AND TRAINING: Must possess a high school diploma or equivalent.

 

WORK EXPERIENCE: One (1) year of clerical experience preferred, but not required.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

           

  • Exceptional verbal and written communication skills
  • Must have the ability to work effectively with other personnel/departments
  • Must be able to type
  • Ability to use office equipment such as computers, printers, copiers, fax, and scanners.
  • Excellent organizational skills and be an effective time manager and multi-tasker

 

Physical Requirements:  Must be able to read, write, speak and hear the English language clearly. Must be in good general health and demonstrate emotional stability. Must be able to sit, stand, bend, lift, and move intermittently throughout the day. Must function independently, have flexibility, personal integrity, and the ability to work effectively with patients and personnel.
